Data Controller

‘Whitehouse Retail limited’  in this policy refers to Whitehouse Retail Limited, comprising of Whitehouse Bureau de Change, Whitehouse Nisa, Whitehouse Carwash Complex and  Whitehouse Retail Park.

Whitehouse Retail Limited is the data controller of all personal information that is collected and used about Whitehouse Retail Limited employees, customers and suppliers. Whitehouse Retail Limited is registered with ICO registration number ZA356471 and registered office at 65 Buncrana Road, Londonderry, Northern Ireland BT48 8LB.


How we use your information:

We will only process your personal data where we have a legal basis for doing so. The legal basis will depend on the reasons we have collected and need to use your personal data for.

We use your information primarily as part of the day to day running of the business. We process information to enable us to buy and sell our products and services; maintain our own accounts and records; support and manage our employees; use of CCTV for security and crime prevention purposes.

  • It is in our legitimate interests in operating as a money exchange business so that we can enter into a money exchange contract with you

 What personal data we collect:

Personal data means any information relating to you which allows us to identify you, such as your name, and contact details. We collect this information from the information you give us and from communications you exchange with us via letters, emails, and telephone calls.

Specifically we may collect the following categories of information:

Name, home address, telephone number, e-mail address, passport or other recognised personal ID card numbers and details, payment details.

 We collect and process various categories of personal information, including basic information such as name and contact details, and further personal  information including date of birth, gender, nationality,  passport or ID number and country of issue. We will also collect and process information about financial circumstances, accounts and transactions.

We also process sensitive classes of information that may include: racial or ethnic origin; religious or other beliefs; visual images, personal appearance and behaviour;  criminal proceedings and behaviour

We process personal information about: employees, customers, suppliers, enquirers, complainants, offenders and suspected offenders, individuals captured by cctv images

Most of your information will have been provided by you, or created through your use of our services. We also collect information from the technology you use when dealing with us (online banking, public sources)

Where permitted by law, we may process information to comply with laws relating to money laundering, fraud, terrorist financing, and for international sanctions.


 How long we keep your information

We will not retain your data for longer than necessary to fulfil the purpose it is being processed for.

Different retention periods apply for different types of data. For money exchange service we will retain data for 5 years after the end of the relationship , however the longest we will normally hold any personal data is six years.

When we no longer require your personal data, we will securely delete and destroy it.


Security of personal data

We follow strict security procedures in the storage and disclosure of your personal data, and to protect it against accidental loss, destruction or damage.  We may disclose your information to trusted third parties for the purposes set out in this Privacy policy. We require all third parties to have appropriate technical and operational security measures in place to protect your personal data, in line with EU law on data protection rules.


 International Data Transfer:

Whitehouse Retail Limited operates in Northern Ireland, and all information is held within the U.K. We do not transfer information to other countries.


 Sharing your information outside Whitehouse Retail Limited

We keep your information confidential and will only share your information outside of Whitehouse Retail Limited for the purposes mentioned in our privacy notice. This may include sharing with third parties such as government bodies, fraud prevention agencies, law enforcement agencies, regulators and insurers where we are required to do so:

  • to exercise our legal rights

  • for the prevention, detection, investigation of crime or prosecution of offenders and

  • the protection of our employees and customers



 We will not send you any marketing information. We will not share your information to any third parties for their marketing purposes

You will not have to pay a fee to access your personal information (or to exercise any of the other rights).  However we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively we may refuse to comply with the request in these circumstances.

This is an appropriate security measure to ensure that personal information is not disclosed to any other person who has no right to receive it.
